Payroll Adjustments

In nCino Incentive Compensation, payroll adjustments (sometimes called "manual adjustments") refers to credits or debits entered by the user. This is distinct from transactions created by nCino Incentive Compensation as a result of Incentive Plans or draws. Users can create individual payroll adjustments within nCino Incentive Compensation or upload CSV files to create several payroll adjustments at once.

 

Users can post payroll adjustments to any pay date, but adjustments posted to past pay dates will have no affect on payroll export.

 

Payroll Adjustment Behavior Notes

The following sections detail how specific kinds of payroll adjustments behave in the system.

Debit Adjustments

Payroll adjustments that debit the employee only deduct from the employee's pay as long as the adjustment amount does not exceed the employee's net pay for that pay date.

 

If a user attempts to create a debit adjustment that would result in an employee having a negative net pay amount, the system warns them before they can save the adjustment.

When an employee has an adjustment that would make their net pay negative, that adjustment appears in the Negative Net Pay Amounts for Payroll Report. When the system attempts to process the adjustment, it only partially deducts from the employee's pay. The system saves the remaining amount as a draw record the next time it processes draws. This created draw record attempts to recapture pay on a future pay date with an amount equal to the remaining adjustment amount. Once the draw record is created, the related adjustment no longer appears on the Negative Net Pay Amounts report.

Backdated Payroll Adjustments

If an admin enters payroll adjustment for a past pay period, the system assumes the employee has already been credited or debited that amount. As a result, the system does not include this adjustment in any payroll export file. Backdated payroll adjustments are only tracked in nCino Incentive Compensation for historical reporting purposes.
