Understand Company Integration

This article details the process of how integration brings in branches and employees are in to nCino Incentive Compensation.

Overview

nCino Incentive Compensation can automatically update branch and employee information using data from your LOS. These updates occur nightly, meaning any changes made in your LOS today will be visible in nCino Incentive Compensation tomorrow.

Integration will only bring in new or updated Branches and Employees if they have the minimum required fields. Refer to those sections for information on what fields are required.

Company integration can vary depending on how your company was set up. Refer to your Company Parameters for details on what company information is being brought into nCino Incentive Compensation via integration.

Branch & Region Updates Via Integration

Integration pulls branches and regions from the same source in your LOS. Integration does this by bringing in branch data with optional fields for the region that the branch belongs to.

The minimum data required to bring in a new branch:

  • Company
  • Branch Number
  • Branch Name
  • Branch Abbreviation
  • Branch Status

 

Note that the minimum data does NOT include region data. When region data is not included, integration places the branch in the default region as set in your Company Parameters.

Fields to add to include region data:

  • Region Number
  • Region Name

Employee Updates Via Integration

Integration can pull employee information from your LOS.

The minimum data required to bring in a new employee:

  • First Name
  • Last Name
  • Employee Number (aka File Number)
  • Employee Email (must be valid)
  • Employee Status
  • Employee Branch

Once brought in to nCino Incentive Compensation, integration can update employee names, active statuses, and branches.

During the integration process, the system checks employees in order to prevent nCino Incentive Compensation from creating duplicate or faulty employee entries. If the system detects an error, it does not import the employee into nCino Incentive Compensation. Instead, the system adds employee record(s) with the errors to a list that is sent via email to the payroll admin for further research.

 

Items that the system checks include the following:

  • Duplicate entries in file
    • Duplicate employee number with different emails.
    • Duplicate alternate employee numbers with different emails.
    • Duplicate email addresses for different employee numbers (can be any combination of primary or alternate emails).
    • Duplicate email addresses for different alternate employee numbers.
    • Multiple identical entries in file.
  • Duplicate or invalid entries in nCino Incentive Compensation
    • Email associated with employee number does not match email in nCino Incentive Compensation.
    • Email associated with alternate employee number does not match email in nCino Incentive Compensation.
    • Alternate email associated with employee number does not match email in nCino Incentive Compensation.
    • Alternate employee number does not match alternate employee number in nCino Incentive Compensation.
    • Employee has unapproved email domain.

Employee Status Changes from Integration

This section details how the system handles employee statuses brought in through integration. If termination dates are included with employee integration data, the system will enter those automatically. However, if there are no termination dates included with employee integration, the system will not automatically enter a termination date for them.

 

If Integration brings in termination dates:

  • "Inactivation Grace Period" company parameter is not used.

  • nCino Incentive Compensation will use the employee's termination date from integration.

If Integration does not bring in term dates:

  • System uses "Inactivation Grace Period" company parameter to determine how long after inactivation in the LOS the employee will be marked inactive in nCino Incentive Compensation.

  • The System will not automatically mark employees as terminated if a term date is absent from integration.

We recommend admins manually enter or review employee hire and termination dates to ensure records are accurate.
